COPILOT TRAINING
FOR EAS & OFFICE MANAGERS.

EAs run someone else's inbox and calendar, which makes this a different session to the general staff workshop — heavier on Outlook, meeting prep and Teams recap, lighter on everything else.

Who it's for

Executive assistants and office managers who run someone else's inbox, calendar and meetings, and want Copilot to take the repetitive parts of that off their plate.

Format

Usually 2–3 hours, hands-on, repeatable across cohorts. On-site at your premises or live remote.

What people leave able to do

  • Use Copilot Chat in Outlook to triage and summarise a full inbox, and draft replies in the right tone for whoever it's written on behalf of.
  • Prepare a one-page meeting brief from the calendar invite, attachments and recent email history.
  • Use Intelligent Recap in Teams to pull notes and action items from a meeting they didn't attend, and check them against the recording before circulating.
  • Draft agendas, minutes and follow-up emails from a rough set of notes.
  • Know exactly which of these features come free with Copilot Chat and which need a paid seat or Teams Premium.

The session, module by module

What we cover.

  1. Module 1

Copilot in Outlook, for someone else's inbox

Triage, summarise and draft in the right voice — practised on a real inbox, using the grounding Copilot Chat already has on that mailbox without needing a paid seat.

  2. Module 2

    Meeting prep

Building a one-page brief from the calendar invite, its attachments and recent email history with the people in the room.

  3. Module 3

    Recap and minutes

How Intelligent Recap in Teams works, what it needs licence-wise, and turning its output into clean, circulated minutes and actions.

  4. Module 4

    Scheduling and coordination

Drafting scheduling emails, handling reschedules, and keeping tone consistent across a busy, high-volume inbox.

  5. Module 5

    What's free and what isn't

Straight talk on Copilot Chat in Outlook versus a paid seat versus Teams Premium for recap, so the EA can set accurate expectations with the executive they support.

Prompts we practise in the room

Real tasks, not demo tricks.

  • Inbox triage

Summarise everything in my inbox from the last 24 hours that needs a same-day reply, grouped by urgency.

  • Meeting brief

Build a one-page brief for this 2pm meeting using the invite, the attached agenda and my last three emails with this person.

  • Draft a reply

Draft a reply declining this meeting request and proposing Thursday instead, in a warm, professional tone.

  • Minutes from recap

Turn these meeting notes into minutes with a clear list of actions, owners and due dates.

Licences: what attendees need

Copilot Chat in Outlook already grounds on the signed-in user's own mail, calendar, meetings and a bounded set of files without a paid Copilot seat — that covers most of the inbox-triage and meeting-prep work in this session. Intelligent Recap in Microsoft Teams is different: it needs either Teams Premium or a Microsoft 365 Copilot seat, so if an EA is expected to pull recap and minutes from meetings they didn't attend, check that licence separately before the session.

FAQ — Copilot for EAs & office managers

Before you book this session.

How many EAs or office managers can attend together?
We keep groups small enough to be hands-on — tell us your headcount and we'll suggest cohorts.
Can this be customised to how our executives like things done?
Yes — tell us about the inbox volume, meeting cadence and tone expectations beforehand and we'll shape the exercises around them.
Do EAs need a Copilot licence to attend?
Not for the Outlook triage and meeting-prep work. Intelligent Recap in Teams needs Teams Premium or a paid Copilot seat — we'll confirm what's in place before the day.
Can you run this on-site?
Yes. We have offices in Brisbane, Mackay, Townsville and Adelaide and run on-site sessions at client premises in those cities as standard; elsewhere in Australia on-site is arranged case by case, or we run it live remote.
What happens after the session?
The prompt set we used and a note on which licence gaps (if any) are worth closing before recap and minutes become routine.
