The mining services sector, the METS businesses Austmine represents, runs on a shape that Microsoft 365 Copilot happens to fit unusually well: a workshop, a head office and crews on client sites, held together by a small admin team drowning in documents. Tenders, prequalification packs, SWMS, service reports, rosters, quotes. The workflows are different, the paperwork burden per employee is arguably heavier, and the business case is easier to see because the hours lost to documents are usually unbilled.
Tender and prequalification responses
This is the workflow to start with, because it is high stakes, deadline-driven and built almost entirely from material the business already owns. The pattern that works: keep past submissions, capability statements, plant lists, insurances and standard methodologies in a well-organised SharePoint library, then have Copilot draft each response section against the request's own criteria. Asking Copilot to draft a response to a specific evaluation criterion, in the company voice, grounded on the last three relevant submissions, reliably produces the first 70 per cent. The bid lead still owns the win themes, the pricing and the final read; what disappears is the blank page at 9pm the week the tender closes.
Two supporting habits make the drafting dramatically better. First, use Copilot to read the request before writing a word of response: ask it to extract every evaluation criterion, mandatory requirement and returnable schedule from the tender document into a compliance table, then work through that table rather than the 90-page PDF. Missed returnables sink more contractor tenders than weak prose does. Second, after each submission, spend 20 minutes filing the final version and the feedback into the same library, because every tender improves the grounding for the next one. The businesses that win consistently treat their submission history as an asset with a custodian, not a folder of orphaned PDFs.

SWMS and safety documentation, with the honest caveat
Safety documentation is where contractors lose the most evenings, and where the sharpest caution belongs. Copilot is a drafting assistant for safety documents, never their author. A safe work method statement exists so that a competent person thinks through the high-risk work, the hazards and the controls; Safe Work Australia's model Code of Practice for construction work sets out what an SWMS must cover, and mining principals layer their own site safety systems and document formats on top. Nothing about that responsibility transfers to software.
Used properly, Copilot takes the prior SWMS for a similar scope, the site's format requirements and the supervisor's dot points, and produces a structured draft in minutes instead of an hour. The supervisor then does the part that matters: walks the actual task, corrects the hazards and controls against the real conditions, and signs. The same division of labour holds for incident reports, toolbox talk outlines and audit responses. A business that lets unreviewed AI text into a safety document has not saved time, it has created risk, and principals' auditors are already alert to generic, site-blind safety prose.
Plant maintenance records and reports
The maintenance system of record stays the maintenance system of record; Copilot lives in the Microsoft 365 layer wrapped around it. That layer is thicker than most owners admit: service reports written up from a fitter's field notes, defect reports for the client, condition summaries, monthly contract reports assembled from the same spreadsheets every month. Copilot in Word turns rough notes into a clean service report in the company template; Copilot in Excel helps interrogate the job history behind a monthly report; Copilot in Outlook drafts the client update that accompanies it. The fitter's observations and the tradesperson's judgement stay theirs, the typing does not.
- Service and inspection reports: draft from the technician's dot points into the client's required format, then the technician confirms the findings before it leaves the building.
- Defect and repair recommendations: turn the workshop's assessment into the formal recommendation letter the principal's maintenance planner needs to raise the work order.
- Monthly contract reports: assemble the recurring report skeleton from the month's job records, with the ops manager supplying the commentary that actually requires judgement.
- Warranty and dispute correspondence: summarise a long email chain about a contested repair into a timeline before drafting the response, which is where Copilot in Outlook repays its licence fastest.
Rosters and site communications
For labour-hire and crew-based contractors the daily grind is coordination: roster changes, mobilisation details, site access requirements, inductions expiring, flight and camp logistics. Copilot drafts the swing-change notice from the roster spreadsheet, summarises a week of a site Teams channel for the operations manager who was on leave, and turns a client's mobilisation email into a checklist for the crew. None of this is glamorous, all of it is daily, and it compounds across every crew on every site. The one discipline that makes it work is keeping the roster and mobilisation records in shared files or Teams rather than in one coordinator's inbox, because Copilot can only draft from what the business can see.
Quoting from historic jobs
Most established contractors already own their best estimating asset: years of completed jobs with actual hours, actual parts and actual margins. Copilot in Excel makes that history answerable in plain language, what similar scopes cost, where the overruns were, which assumptions burned the business last time, and drafts the quote letter around the numbers the estimator settles on. The caution mirrors the safety one: Copilot's arithmetic and retrieval need checking, and the estimator owns every rate on the final quote. It shortens the path to a defensible number; it does not set the number.
The workshop, the site and the link between them
A METS business rarely enjoys head-office connectivity everywhere it works. The workshop and office are usually fine. Site crews are often on a principal's network with its own restrictions, on camp wifi in the evening, or on a 4G link at a laydown yard, and Copilot is a cloud service, so the honest position is that it belongs in the planned parts of the day: the site office write-up, the camp-desk evening, the workshop morning, not mid-task in the field. What has to be true before the first seat
Copilot answers from what a user can already access, so tenant hygiene decides whether it is an asset or an embarrassment. For a contractor the sharpest version of the risk is client confidentiality: if permissions are sloppy, the estimator drafting a quote for one principal can surface another principal's rates in the process. - Client-scoped SharePoint sites, one per principal or per contract, with membership limited to the delivery team, so grounding follows the same boundaries the confidentiality clauses do.
- Sensitivity labels on rates, margins and anything received under a principal's confidentiality terms, and a sharing settings review so nothing commercial sits behind an organisation-wide link.
- The files actually in Microsoft 365. A business still working off an ageing workshop server has nothing for Copilot to ground on; the migration comes first, and it pays for itself in searchability alone.
- An acceptable use rule for the crews, because site staff already have consumer AI apps on personal phones. One page that says what goes into company Copilot, and what never goes into public tools, is enough.
The licensing baseline is current Microsoft 365 seats, users in Entra ID and content in OneDrive and SharePoint, with Copilot added per user for the roles that write for a living.
