Availability labels were checked against Microsoft’s documentation in September 2026, and Microsoft moves these boundaries, so confirm anything load-bearing before you buy on it.

Copilot for a small team, in plain English
- Do I need to pay for Copilot to use any of this?
- No. Copilot Chat is included at no extra licence cost for Microsoft Entra users on Microsoft 365 Business Basic, Business Standard, Business Premium, E3, E5, the frontline plans and the Office 365 plans. Most of the workflows in the planner run on it. The planner labels each workflow as included with an eligible subscription, paid Copilot licence required, metered, or needing an eligibility check, so you can see what you already have before spending anything.
- What is the difference between Copilot Chat and Microsoft 365 Copilot?
- Copilot Chat is primarily web grounded, with enterprise data protection, file upload and analysis, image generation and agents. You can give it organisational content by pasting it, uploading a file or referencing one, and in Outlook it answers across your own mail, calendar, meetings and chats. The paid Microsoft 365 Copilot seat adds broad reasoning across the whole tenant through Graph API, Work IQ and semantic indexing, Copilot inside Word, Excel, PowerPoint and OneNote, priority access to models, and the advanced agent experiences. - Will Copilot actually save my team time?
- Nobody can tell you that from a web page, which is why the planner asks you to measure it. The seven-day plan starts by timing the task as it is today and ends by timing it again with checking and rework included. Some tasks come out faster and some do not: reviewing a draft of a short piece is often slower than writing it. The estimate the planner produces is arithmetic on your own assumptions, not a measured result and not a payroll saving.
- Is it safe to paste work content into Copilot Chat?
- Copilot Chat carries enterprise data protection for eligible work and school accounts, which means prompts and responses are not used to train Microsoft's models and stay inside your organisation's compliance boundary. The same is not true of consumer Copilot signed in with a personal Microsoft account. Check that your people are signed in with their work account, and apply the same judgement you would to any document: the planner's prompts are written to work from content you choose to supply, never from a request for your whole mailbox.
- What should we fix before rolling Copilot out properly?
- SharePoint and OneDrive permissions. Copilot inherits the permissions a user already has, so it will surface content that person could technically open but never realised was there.
