A business already paying for Microsoft 365 has two AI tiers available today: Copilot Chat, included at no extra cost and grounded in the web, and the paid Microsoft 365 Copilot seat, grounded in the organisation's own email, files, chats and meetings. Every department below can start this month with one or the other, inside Outlook, Excel, Teams and Word.
The list below is the one Frontrow works through with Australian businesses of roughly 10 to 100 staff. It is deliberately unambitious: no new platforms, no custom agents, nothing that needs a project plan. Each department gets three or four workflows in the apps it already lives in, with a plain call on whether the free tier covers it or the task needs the paid seat.
Copilot Chat or the paid seat: settle the split first
Everything below turns on one distinction, so it is worth 30 seconds up front. Microsoft ships two Copilot experiences for a business tenant, and the difference is what the AI is allowed to see.
- Copilot Chat comes with eligible Microsoft 365 business subscriptions at no additional cost. It is AI chat grounded in the web, with enterprise data protection, file upload, image generation and Copilot Pages. It is not grounded in organisational content: it cannot see email, files or chats on its own. The user brings content to it by uploading a file, pasting text in, or working alongside it in Teams and Outlook, where the side pane is aware of what is open on screen.
- Microsoft 365 Copilot is the paid per-user add-on. It grounds answers in the organisation's own data through Microsoft Graph, meaning the user's emails, chats, meetings and documents, limited to whatever that user already has permission to open. It also puts Copilot inside the apps themselves, with drafting and editing in Word, Excel, PowerPoint, Outlook and Teams.
- The add-on attaches to the subscriptions Australian small businesses actually run. Microsoft lists Microsoft 365 Business Basic, Business Standard, Business Premium and Apps for Business among the eligible base plans, alongside the enterprise suites.
- Nobody needs a new tool to start. Copilot Chat is reachable from Teams, Outlook, the Microsoft 365 Copilot app and the Microsoft Edge sidebar with the work account people already sign in with.
The working rule for every use case that follows: if the task starts from a document the person can hand over, the free tier usually covers it. If the task starts from a question about what is already sitting in the tenant, that is the paid seat.
What can finance do with Copilot this month?
Interrogate the spreadsheet instead of rebuilding it
Copilot in Excel, paid seat. Microsoft describes the capability as suggestions for formulas, chart types and insights about the data in the sheet, and the practical version is the monthly pass over aged debtors, job margins or payroll variance happening in minutes inside the workbook. On the free tier, the same questions can be asked by uploading the workbook to Copilot Chat, which suits a one-off read but loses the step of applying the formula or chart in place. The operational change is that the hour before the management meeting stops being spent rebuilding the same three charts.
Read the contract before it renews, not after
Word on the paid seat, where Copilot can summarise the open document and answer questions about it, or Copilot Chat with a file upload on the free tier. Ask for the renewal date, the notice period, the price review mechanism and anything that should go to a lawyer. Supplier agreements, equipment leases and finance facilities are exactly the documents that get skimmed at signing time. The change is that the person who owns the spend reads the terms at renewal time instead of discovering them in a dispute.
Chase debtors without composing each email
Outlook, paid seat. Draft with Copilot produces the follow-up from a one-line instruction and can draw on other emails and content the user already has access to, and Coaching by Copilot reviews tone, clarity and likely reader reaction before anything firm goes out. On the free tier, the draft happens in Copilot Chat and gets pasted across. The change is cadence: overdue invoices get chased on schedule, because the composing friction that caused the deferral is gone.
Turn the month-end pack into first-draft commentary
Copilot Chat in work mode, paid seat. Because the paid tier is grounded in files the user can access, the finance lead can ask for a first pass of board commentary drawn from the month-end pack in SharePoint, then correct it against the numbers. The judgement stays human and so does the accountability. What compresses is the writing time between the numbers being final and the pack going out.
What can operations do with Copilot this month?
End every meeting with the actions captured
Teams meetings, paid seat, and the strongest use case on this page. With transcription running, Copilot works from the live transcript during the meeting, capturing key points and recommending follow-up tasks, and after a meeting that was recorded and transcribed the Recap tab in the meeting chat holds AI notes. Two settings decide how it behaves: the organiser's Copilot meeting option and the admin transcription policy, and turning Copilot off for a meeting also turns off recording and transcription. The change is that the weekly WIP meeting produces the same quality of action list no matter who chaired it.
Get the standard operating procedure written at last
Word, either tier. On the paid seat, Draft with Copilot can generate a structured procedure and use existing Word files as grounding, so the new document starts from the closest old one. On the free tier, paste the steps as dot points into Copilot Chat and ask for a numbered procedure with responsibilities and a review date. The change is that capturing how a job is actually done stops waiting on the one person in the business who writes well.
Digest the long document that arrived from outside
The new standard, the council conditions, the insurer's risk requirements, the head contractor's 90-page subcontract. Paid seat: open it in Word and ask questions of it directly. Free tier: upload it to Copilot Chat and ask which clauses impose obligations on the business. Treat the output as a reading guide rather than an answer, and the change is that the three clauses that actually bind operations get read by a human instead of none of them being read at all.
Catch up on a project channel in one pass
Teams chat and channels, paid seat. Copilot can summarise up to 30 days of a conversation before the last message, with citations that link back to the source messages, and it only reads the single thread it is asked about, which keeps it predictable. The change shows up at the edges of the roster: returning from leave, joining a job mid-stream, or picking up a handover without a two-hour scroll.

Summarise the thread you were added to late
Outlook, paid seat. The Summarize button at the top of an email thread produces the state of play from a 40-message chain in seconds: who wants what, what was agreed, what is still open. It is the single highest-frequency win for anyone in a customer-facing role, and it is cheap to trust because the full thread sits directly underneath the summary. The change is that being added late stops costing an evening of reading.
Walk in already briefed
Copilot Chat in work mode, paid seat. Before a client call, ask what is outstanding with that client across recent email and meetings and get a short brief grounded in what the tenant holds. Be honest about the boundary: Copilot sees Microsoft 365 content, and it does not see the CRM, the quoting tool or the job management system unless those are connected through separate integration work. The change is that pre-meeting preparation drops from inbox archaeology to a two-minute check.
Build the proposal from the last three proposals
Word and PowerPoint, paid seat. Draft with Copilot in Word can use existing documents as grounding, so the new scope starts from the closest previous one, and PowerPoint can generate a first-pass deck from a finished Word document using the organisation's templates. On the free tier, upload the previous proposal and the new brief to Copilot Chat and work from its draft. The change is that proposals start from the firm's best previous work instead of a blank page, and the writing that remains is the part that is genuinely specific to the client.
Send the follow-up the same day
Outlook and Teams together, paid seat. The meeting recap supplies what was agreed, Draft with Copilot turns it into the follow-up note, and the coaching pass checks the tone before it goes. The change is commercial rather than cosmetic: the firm that confirms scope and next steps the same afternoon is the firm that looks organised to a buyer comparing three quotes.
What can admin and reception do with Copilot this month?
Admin is the department where the free tier does the most work, because so much of the role is transforming text that somebody hands over: a message to send, a document to digest, an announcement to distribute. Most of these need nothing bought at all.
Draft and polish the daily correspondence
Copilot Chat, free tier. In Outlook, the side pane is aware of the email that is open, so a reply can be drafted and reworked without copying anything across. Tone changes are the underrated half: firmer with the supplier who has missed the delivery twice, warmer with the client who complained, plainer for the notice going to everyone. The change is that the quality of the business's written front door stops depending on who is on the desk that day.
Summarise whatever lands on the desk
Copilot Chat with file upload, free tier. The minutes to be circulated, the supplier circular, the 30-page tender pack that only needs a go or no-go read. Upload the document with the plus button and ask what it requires of the business and by when. The change is that the triage step that used to queue behind everything else happens the day the document arrives.
Write it once, publish it three ways
Copilot Chat, free tier. The office closure over Christmas becomes an email to clients, a notice for the door and a paragraph for the newsletter in one pass, each in the right register. Nothing here is beyond a competent writer. The point is the 15 minutes it no longer takes, several times a week.
What can management do with Copilot this month?
Start Monday with what you missed
Copilot Chat in work mode, paid seat. Microsoft's own positioning of work-grounded chat is drafting content, reviewing what you missed and getting answers through open-ended prompts, and the Monday-morning version is exactly that: what came in over the weekend, which decisions are waiting, which threads moved. The change is that the first hour of the week gets spent deciding instead of reading.
Read the meeting instead of sitting in it
Teams, paid seat. After a meeting that was recorded and transcribed, the Recap tab in the meeting chat carries AI notes, so an update meeting can be consumed in four minutes at a time of the manager's choosing. The discipline this imposes is useful: meetings that exist to inform rather than decide stop needing the most expensive person in the room.
Get coached on the difficult email
Outlook, paid seat. Coaching by Copilot reviews a drafted message and suggests improvements to tone, clarity and how the reader is likely to receive it. For the emails that matter, the performance conversation, the price increase, the apology, a 30-second check before sending is cheap. The change is fewer messages that need a follow-up call to repair.
Running it as a one-month pilot
The order matters more than the ambition. A month is enough to know which departments will carry paid seats and which are covered by the free tier.
- 1Week one: put the free tier in front of everyone. Copilot Chat needs no licence decision, so start every department on the free use cases above from the entry points they already have in Teams and Outlook. The habit builds while the licensing question is still being worked out.
- 2Week one, in parallel: check the tenant. The paid seat answers from whatever the user can already open, so oversharing surfaces fast. Before any seat is assigned, know the state of the HR, finance and management sites. Frontrow treats a permissions review as the non-negotiable step in any paid rollout.
- 3Week two: assign a small number of paid seats against the tenant-grounded use cases: meeting recap for operations, thread summary and meeting preparation for sales, catch-up for management, the month-end pass for finance.
